PlowProof Privacy Policy

1. Information we collect

Depending on how you use the service, we may collect the following categories of information:

• Account details: name, email, username, company affiliation, role, and authentication credentials managed through our identity provider (Supabase Auth), including sessions created via password, invite, or third-party sign-in where enabled.
• Business and operational data: customer records, property addresses, job and dispatch records, materials usage, reimbursements/expenses, invoices, subscription and billing metadata, and related audit history.
• Real-time and historical location data: GPS coordinates and accuracy used for live map routing, proximity sorting of work, location sharing while on shift, and geotags on proof photos.
• Camera and media data: before/after proof-of-work photos, receipt images for expense/OCR workflows, and associated capture timestamps.
• Device and usage data: app version, basic diagnostics, and notifications tokens needed to deliver operational alerts.
• Integration data: if you connect accounting tools (for example QuickBooks or Xero), OAuth tokens and the minimum identifiers required to sync the features you enable.

2. How we use information

We use the information above to operate snow and ice management workflows, including dispatch, live map routing, proximity-based job ordering, timecard auditing, proof-of-work verification, expense/receipt processing, customer communication, and invoicing.

We also use it to authenticate users, secure accounts, provide customer support, improve reliability, meet legal obligations, and communicate service-related notices.

We do not sell personal information. We do not share your connected accounting data with unrelated third parties except as needed to provide an integration you enabled or as required by law.

3. Location, camera, and sensitive permissions

PlowProof requests location permission to support live routing, proximity sorting, on-shift location sharing, and GPS stamps on proof photos. You can revoke location permission in device settings; some field features will then be limited.

Camera and photo library access are used for job proof photos and receipt capture. Photos you submit become part of your organization’s operational records.

4. Sharing

We share information with service providers that help us host, authenticate, store, process payments/subscriptions, send email or push notifications, and run OCR or mapping features—only as needed to provide the product.

Within your organization, authorized owners, admins, and supervisors may access job, location, timecard, photo, and billing records according to role permissions you configure.

5. Retention

We retain account and operational records while your organization remains active and for a commercially reasonable period afterward for legitimate business, auditing, dispute, tax, or legal purposes. You may request deletion or export by contacting support; some records may be retained where we are legally required to keep them.

6. Security

We use industry-standard safeguards such as encrypted transport (HTTPS), access controls, and authenticated APIs. No method of transmission or storage is 100% secure; please protect account credentials and limit device access.

7. Children’s privacy

PlowProof is a business application intended for adult professionals. We do not knowingly collect personal information from children under 13 (or the equivalent minimum age in your jurisdiction).

8. Your choices and rights

Depending on your location, you may have rights to access, correct, delete, or export personal information, or to object to certain processing. Organization administrators control much of the business data stored in the account. Contact us to exercise applicable rights.

9. Changes

We may update this Privacy Policy from time to time. The “Last updated” date at the top will change when we do. Continued use of the service after an update constitutes acceptance of the revised policy where permitted by law.
